May 6th, 2007 Meeting Minutes

Minutes taken by Sandy Lapp, Corresponding Secretary, filling in for our Recording Secretary Sandy Gambuti, who was ill.  

May 6th meeting minutes for KMHC

 

Opening:

 

Ken Mott called the meeting to order at 1:15 PM.

Kathy LaFrana read the March 11th meeting minutes. 

A motion was made by Linda Mott to accept the March meeting minutes as read.

 

The motion was seconded by Kathy LaFrana, motion carried.

 

Treasurer's Report:

 

Kathy LaFrana read the Treasurer's report.  A copy of the treasurer's report is available upon request to members in good standing.

 

KMHC currently has 54 paid members.

 

A motion was made by Sandy Lapp to accept the treasurer's report as read.

 

Linda Mott seconded the motion, motion carried.

 

Old Business:

 

Fun Show

Kelly Anderson reported on the fun show.  There were 38 participants and 35 horses.  Two new members joined KMHC when registering for the Fun Show.

 

A conversation ensued about the “barn kids” at Hickory Valley that participated in the Fun Show with member’s horses, but were not registered to do so.  (This included about 15 kids.)  We are thrilled that the kids showed interest and wanted to show.  However, we agreed that they should be registered for the show because of insurance reasons.  We set a new “barn kid” rate of $10.00 for registration for the next show. 

 

A suggestion was made to have driving classes earlier in the day.  With so many participants, the show went later this year, and many people had to leave before the driving classes.  The driving classes are always fun to watch, so these classes  may be moved to an earlier time in the show.

 

The potluck lunch was discussed.  People were taking food from the buffet table before lunch time.  We discussed moving the breakfast and coffee to a separate location to discourage this.  We also suggested that the lunch time be announced to reinforce that people shouldn’t be eating early.

 

Kelly estimated that 2/3 of the people at the show were non-members.  What a great turnout!  Besides the many participants, there were many spectators there.

 

The Fall Fun Show will be at the same location, which worked out really well for both halter and driving classes.  The proposed date is Sunday, October 28th.  Kelly will check on the availability of the facility and a judge.

 

Driving Clinic

The driving clinic was a great success.  Jaye Ventresca did a fabulous job and the attendees all really enjoyed it.  We had a slight profit from the clinic.  The meeting attendees voted unanimously to send Jaye a check to not only cover her booklet costs, but also any profit from the clinic for her time and services.  We really appreciate it Jaye!

 

Name tags were used at the clinic and they really helped everyone to put names to faces.  A side benefit was that they identified anyone who hadn’t paid their clinic fee.  We agreed that we should use name tags for future events.

 

Some ideas were discussed for future clinics, such as additional driving clinics, equine dentist, barefoot farrier, and showmanship.

 

Keystone Classic

Our Show Manager, Donna Julius, was absent, so a report was not available.

 

Kelly Anderson created the show bill and sent them out the last week of April.  She distributed copies to everyone at the meeting.  They look great!

 

Kelly will schedule a final show committee meeting sometime before the show to make sure that all of our bases are covered. 

 

Kelly mailed the showbills in 2 batches.  The Post Office charged different rates each time.  The first mailing was $.63 and the second mailing was $.39.  Our member postal worker, (Art), suggested that Kelly take both receipts back to the Post Office and request a refund for the overcharge on the 1st mailing. 

 

Kathy LaFrana had the April issue of The Journal available for everyone to see.  KMHC was mentioned three times.  We were mentioned in the Area One Club News article (p. 22).  Our very first ever club ad appeared in this edition on page 231.  And Sandy Lapp submitted an article about our club in the Club News section (p. 226).  If you are an AMHR member, make sure you look for us in The Journal!

 

Macy’s Thanksgiving Parade

Kathy Ballentine was absent, so there was no report.

 

Rail to Trails Drive

Although a drive was scheduled, the weather did not cooperate, so the drive was canceled due to snow.

 

Hambletonian Parade

The Hambletonian Parade in Rutherford NJ is scheduled for 10:00am on Saturday, July 28th.  A group of members have responded that they are interested in participating in this parade.  We will have both walkers and drivers.  Linda also suggested that we have a booth and promote our club.  Sandy Lapp will follow up and register us for this parade.

 

New Business:

 

Vinyl Banners

Kathy LaFrana read a letter that she received from Hodges Badge Company offering a new service.  They now offer custom vinyl banners that we can hang up wherever we want to display our club logo, such as at our shows and any events like the Farm Expo.  They are offering a 50% discount for the banners until July 1st.  An small artwork setup fee will also be required.  We decided to order 4 3’ x 3’ banners. 

 

Polo Shirts

Sandy suggested the idea of purchasing polo shirts embroidered with our club logo.  She found a local business that does this work and received catalogs from them showing different styles of polo shirts from various manufacturers.  The cost is a $35.00 setup fee, approximately $5.25 per shirt for the embroidery, plus the cost of the shirts that we choose.  (Or we can supply our own shirts.)  The attendees felt that the charges were very reasonable and decided to go ahead with offering shirts for purchase to our members.  Sandy said she would email the information to members, since we have to place an order soon to get the shirts in time for the Keystone Classic.  These shirts can be used for various club events, such as the Keystone Classic, warm weather parades, the Farm Expo in Sept. etc. 

 

Ken asked Sandy to get a quote on doing embroidery on baseball jackets, for wearing in colder weather.  Ken and Linda would like to purchase jackets for themselves.  Maybe others would like to also.

A motion was made by Kelly Anderson to adjourn the meeting at 4:15pm.
